Granting access privileges to your folder

Folder owners or content area administrators can control which users and/or groups, also known as content contributors, can perform actions in a folder. They do this by granting or revoking folder privileges.

You can assign the following folder privileges to any user or group: Own Folder, View Content, Edit Style, Manage Items, Create With Approval.

You must be logged on as the content area administrator, folder owner, or have the appropriate folder privileges.

To grant folder privileges to users and/or groups:

Note: If you are already in the Folder Manager that you want to work with, skip to step 4.

  1. In the Navigator, click the Content Areas tab.

  2. Navigate to Path: Content Areas > Name of Content Area > Folders.

  1. In the Actions column, click Edit next to the folder you want to work with to display the Folder Manager.

    Note: If you do not see the folder that you want to work with, this means that you have not been granted the appropriate folder access privileges. See your content area administrator to request folder access.

  1. Click the tabuser.gif Access tab.

  2. In the Grant Access section, enter the name of the user or group to which you want to assign folder level privileges. If you do not know the name of the user or group, click to display a list of existing users or click to display a list of existing groups from which to choose.

    A box is displayed that lets you perform a search for the user or group name. You can use the wildcard character, %, to display a list of users or groups with your search criteria.

    Note: Adding a group instead of a user saves you time if you want to grant the same folder access privileges to multiple users. If you don't see the group name in the access list, you can create a group.

  1. Click Add To Access List.

  2. Click Apply to have the user or group reflected in the Change Access section.

  3. Beside each user name, choose which privileges you want to grant to each user or group by checking the appropriate check box(es):

Folder level privilege

Description

Own Folder

User(s) is the owner of this folder. The folder owner has full privileges to this folder and can perform any task on items in this folder including adding, editing, moving, and deleting items. You can have more than one folder owner; all folder owners have equal privileges.

Note: It is a good idea for the content area administrator to assign the Own Folder privilege to more than one user so that folder-related tasks can be shared and completed in a timely manner.

View Content

Users can view all items in this folder that don't have any item access privileges applied to them. This is the lowest level privilege.

Edit Style

User(s) can choose another style to apply to this folder which would change the folder's appearance. They cannot actually change the style properties.

Manage Items

User can add, edit, or delete items in this folder.

Notes:

  • Granting content contributors the Manage Items privilege is a good idea since contributors can update their own content items regularly without having to wait for the administrator or folder owner to do this.

  • If item level security is enabled, an item creator can grant the Own Item privilege to more than one user. However, content area administrators, folder owners, and authorized users with the Manage Items privilege (folder managers) have the highest level privilege on all items in the folder. They cannot have their privilege superseded by an item level privilege.

Create With Approval

User can add items to this folder, but the folder owner must first approve the item before it is displayed in the folder area.

  1. Repeat steps 5-8 for each user or group you want to add to this folder's access list.

  2. When you are done, click OK.

Notes

  • Public users can only view content that is available to the public. Logged on users can view content for which they have been explicitly granted on this page.

  • In situations where a user is a member of two different groups with different privileges on the same folder, the user is granted a combination of all these privileges.

  • If item level security is enabled, an item creator can grant the Own Item privilege to more than one user. However, content area administrators, folder owners, and authorized users with the Manage Items privilege (folder managers) have the highest level privilege on all items in the folder. They cannot have their privilege superseded by an item level privilege.

  • To revoke any folder privileges, clear the appropriate access check boxes.

  • To delete a user or group, click next to the Grantee Name.

  • To cascade or copy all folder privileges to sub-folders, select the Copy Privilege To All Sub-Folders field.
