Changing an item's expiration period

An expiration period determines how long an item is displayed in the folder area. You can change the expiration period at any time.

You must be logged on as a folder owner or an authorized user with the appropriate folder or item-level privileges.

To change an item's expiration period:

Note: If you are already in the folder in which you want to edit an item, skip to step 4.

  1. In the Navigator, click the Content Areas tab to navigate to Path: Content Areas.

  2. In the Name column, click the content area link that contains the item you want to work with.

  3. The content area home page (root folder) is displayed with all the sub-folder links that were chosen.

    • If necessary, click a sub-folder link to view the contents of a given folder.

    • If you do not see the folder that you want to work with, this means that you have not been granted the appropriate folder access privileges. See your content area administrator to gain access.

  4. Click Edit folder located on the main banner to switch to Edit mode.

This displays the item management tools next to all the items in the folder.

  1. In the folder area, locate the item you want to edit.

  2. Click beside the item to display the Item Manager.

  3. On the Primary tab below the Expiration Period section, choose whether this item is always available, available only for a specified number of days, or if it expires on a certain date.

  4. Click OK.

The item's expiration period is modified.

Notes

  • When an item expires, it is viewable only by the item creator, folder owner, and content area administrator.

  • The folder owner or content area administrator can redisplay an expired item by editing the item and extending its expiration period.

  • The content area administrator can permanently remove expired items from the content area by performing a system purge.

  • If there are multiple versions of an item, all versions expire when the expiration period is reached.

  • Item attributes such as Author, Description, Expiration Date, Image, New Item Indicator, and so on are displayed in the folder area only if they were chosen to display. For more information, see Choosing item attributes to display in a folder region.
