Choosing the categories available in a content area

You can control which categories users can choose from when adding an item or creating a folder in a content area.

You can also reorder categories to establish the order in which folders and items are displayed for the content area. For example, if the category Payroll is first in the Visible Categories list, followed by the category Sales, items with the category Payroll are displayed first, followed by items with the category Sales.

You must be the content area administrator, the portal administrator, or have Manage privileges on All Content Areas to choose which categories are available in a content area.

To choose the categories available in a content area:

  1. In the Navigator, click the Content Areas tab.

  2. Navigate to the root path.

  3. In the row for your content area, click Edit Properties.

  4. Click the Objects tab.

  5. In the Hidden Categories list under Categories, choose the categories that users can choose from when adding an item or creating a folder in this content area.

    Note: You can choose more than one category in the Hidden Categories list. For example on Microsoft Windows, press Ctrl or Shift and choose multiple categories.

  6. Click to move the chosen categories to the Visible Categories list.

  7. In the Visible Categories list, choose the categories that users cannot choose from when adding an item or creating a folder in this content area.

    Note: You can choose more than one category in the Visible Categories list. For example on Microsoft Windows, press Ctrl or Shift and choose multiple categories.

  8. Click to move the chosen categories to the Hidden Item Categories list.

    Note: If you exclude categories from a content area, you are not deleting those categories, you are simply preventing users from being able to choose these categories when adding items or creating folders in this content area.

  9. Click OK.

Notes

  • Use to choose the order in which the categories are to be displayed in the categories list. The order chosen here also influences the order in which items are to be displayed in the content area.

  • If you want to make a sub-category visible, its parent category must also be chosen in the Visible Categories list.

  • If you hide a shared category, it is only hidden in the current content area (not in all content areas). To hide a shared category in all content areas, you must hide it in the Shared Objects content area.

  • Hidden categories are not displayed in View mode. They are only displayed in Edit mode. In Edit mode, you can move an item or folder assigned to a hidden category to another category.
