Performing an advanced search

Use advanced search to:

  • Find content that contains all (or any) of the specified words.

  • Search across a content area other than the current content area, or across all content areas.

  • Restrict the search to a particular folder, category, perspective, item type, or attribute.

  • If you have interMedia installed and enabled, you can also use advanced search to perform near, soundex, and fuzzy searches.

To perform an advanced search:

  1. Click Advanced Search on the navigation bar or in the Search Results page.

    Note: If the Advanced Search link does not appear on the navigation bar, enter anything in the Search field and click Go to display the Search Results page where you can click the Advanced Search link. If neither the Advanced Search link nor the Search field appear on the navigation bar, search has been disabled for this folder.

  2. In the Operator list, choose the search operator:

Contains All

Searches for content that contains all of the specified words. For example, if you enter weights aerobics in the Search For field, advanced search finds content that contains the words weights and aerobics.

Contains Any

Searches for content that contains any of the specified words. For example, if you enter weights aerobics in the Search For field, advanced search finds content that contains the word weights or the word aerobics.

Near

Returns a score based on the proximity of the specified words in the content. A higher score is returned for content with the specified words closer together and a lower score is returned for words farther apart.

Note: This operator is available only if interMedia is installed and enabled.

Soundex (All)

Expands a Contains All search to include words that sound similar to the specified words. This allows comparison of words that are spelled differently, but sound alike in English.

Note: This operator is available only if interMedia is installed and enabled.

Soundex (Any)

Expands a Contains Any search to include words that sound similar to the specified words. This allows comparison of words that are spelled differently, but sound alike in English.

Note: This operator is available only if interMedia is installed and enabled.

Fuzzy (All)

Expands a Contains All search to include words that are spelled similarly to the specified words. This is helpful for finding more accurate results when there are frequent misspellings in the content.

Fuzzy (Any)

Expands a Contains Any search to include words that are spelled similarly to the specified words. This is helpful for finding more accurate results when there are frequent misspellings in the content.

  1. In the Search For field, enter the words that you want to search for.

  2. In the Content Area list, choose the content area in which you want to search, or choose All Content Areas.

    Note: When you choose a content area, the page is refreshed and the remaining fields are updated with values appropriate to the chosen content area. For example, if you choose a specific content area, only that content area's folders are listed when you click next to the Folder field.

  3. In the Language list, choose the language in which you want to search. For example, if the content area is available in English and French, you can choose to search only the French translation of the content area for the specified words.

  4. Click next to the Folder field, and select the folder in which you want to search, or choose All Folders. Check Include Sub-folders if you also want to search in folders beneath the folder you specified.

    Note: This list shows only the folders relevant to the content area chosen in the Content Area list.

  5. In the Category and Perspective lists, choose the categories and perspectives in which you want to search, or choose All Categories or All Perspectives.

    Notes:

    • These lists show only the categories and perspectives relevant to the content area chosen in the Content Area list.

    • These lists may not be labeled Category and Perspective if the content area administrator has changed the labels in the Content Area Manager.

  6. In the Type radio group, click:

All

To search for folders, items, categories, and perspectives that match the search criteria.

Folders

To search for folders that match the search criteria.

Items of Type

To search for items that match the search criteria. You can also specify what type of items to search for by choosing the item type in the list.

Note: This list shows only the item types relevant to the content area chosen in the Content Area list.

  1. You can also restrict your search to specific attributes of folders and items. For example, if you know that the item you want to find contains the word aerobics in its title, or that it was added some time after 10-OCT-99, you can search those particular attributes. The search feature searches for content that matches the search criteria specified at the top of the page and the attribute search criteria.

    In the Match radio group, click:

All

To search for content that matches all the attribute search criteria, for example content that contains that word aerobics in its title and was added after 10-OCT-99.

Any

To search for content that matches any of the attribute search criteria, for example content that contains the word aerobics in its title or was added after 10-OCT-99.

  1. In the first Attribute Name field, enter the attribute name, for example Title or Creation Date. Click if you are not sure of the attribute name.

  2. In the Operator list, choose the search operator, for example Contains or Greater Than.

    Note: The Equals to, Greater than, and Less than search operators should be used only with numeric and date attributes.

  3. In Value field, enter the words you want to search for, for example aerobics or 10-OCT-99.

  4. Click More Attributes if you want to specify more attribute search criteria.

  5. Click Submit.

Notes

  • Searches are not case-sensitive.

  • To search for multiple words, separate each word with a space, for example:

weights aerobics

  • To search for a phrase, enclose the phrase in single quotes, for example:

'weight lifting'

  • The % character is interpreted literally, so do not include it as a wildcard. If you enter 100% as your search term, search finds content that contains the text 100%, not 1000 or 10000. Wildcards are automatically added to the beginning and end of your search term, so searching for 100 will automatically return content that contains 1000 and 10000.

  • The Search Results page displays only content that you are authorized to view.

  • If interMedia is installed and enabled, search automatically uses the stem operator to search for words that have the same linguistic root as the specified word. For example, if you specified the word lift, the search feature will return content that contains the words lift, lifting, lifted, etc.
